2A Ledger™ customer guide

Install, activate, protect and back up your local inventory. 2A Ledger keeps firearm details, photographs, documents and sale history on your Windows computer.

The application package is unsigned; a verified Windows publisher signature is not claimed. Download through the private customer-download service and compare the published checksum.

1. Verify and extract the complete package

  1. After publication is approved, use only the named customer ZIP and checksum on the final download page. Compare its SHA-256 checksum before extraction. Stop if it differs; do not use an INTERNAL or DEV package.
  2. Choose Extract All into a writable folder. Keep every supplied file and resource together. Do not run from inside the ZIP.
  3. Open 2A Ledger.exe. The customer package starts blank, without an inventory or an activated license.

Windows may warn about the unsigned application. Keep security protections enabled and follow your organization’s policy. Ask support if you are unsure.

2. Activate privately and understand offline use

The intended offer is $7.99 USD once per computer, with no subscription or trial. Owner-issued free full-access keys require the owner’s approval; paid purchases do not consume the free-key allocation. The owner can authorize additional free keys beyond the initial allocation of ten.

  1. Wait for your privately delivered key. While online, open License → Activate a license.
  2. Paste the key into the application and choose Activate. Never put the key in a public message.
  3. Use Check / renew now while online when renewal is needed.

One key permits one active computer. You do not need to stay continuously online. The current certificate requests renewal after 14 days, expires after 30 days and permits a further 7-day offline grace period. After expiry and grace, or after a successful check learns of revocation, editing becomes read-only until licensing is restored. Viewing and backups remain available; licensing does not delete your inventory.

The licensing service cannot access your inventory contents or inventory password. Activation and licensing are separate from unlocking a protected inventory.

Bug and security fixes released for the purchased initial version are included. Version or feature upgrades require a new license at the then-listed upgraded-version price.

3. Save and find your records

Choose Add item, enter your record and choose Save item to commit the editor. Committed edits save automatically; Save now flushes a pending save. Unsubmitted form edits are not saved records.

Use search and automatic categories to find records. Active and Sold separate current inventory from sale history. Photos and approval documents stay with their records. Use About / data folder to locate the active local data. Do not share a working application folder containing a Data directory.

Import inventory accepts compatible HTML or JSON and replaces the active inventory after a snapshot. Your selected source file is unchanged. Make an independent backup first.

4. Choose password protection before adding sensitive details

  1. Open Password protection: Off, read the password-loss warning and enter the same password or passphrase of at least 12 characters twice.
  2. Confirm the warning, choose Enable password protection and wait for verified success.
  3. Keep the password safely outside this computer. There is no hidden recovery key and support cannot recover a forgotten inventory password.

Enable protection before storing buyer details or ID pictures. Ordinary notes, photographs and unprotected exports may expose information. Protection does not remove older plaintext copies, exported files or copies on other drives. It does not protect an unlocked computer from malware or someone who can see the screen.

Your activation key, inventory password and owner website sign-in are different things. Website themes change this website only; they do not add themes to the desktop package.

5. Back up, then verify a restore

  1. Unlock your protected inventory. In Password protection, choose Save protected backup and save the .flvault file on an independent drive.
  2. Keep the password used when that backup was created. Changing the current password does not change old backups.
  3. Test restoring a backup in a separate test copy before relying on it. In the application choose Restore snapshot, select the file and review the replacement warning.
  4. For a protected backup, enter its original password in Unlock protected backup, then choose Verify and restore. Check your records and attachments afterward.

Restoring replaces the active inventory; the application attempts to retain the previous inventory in a local snapshot first. Automatic snapshots on the same computer are not a substitute for independent backups.

Export HTML backup and Export CSV create readable files outside desktop password protection. They are not interchangeable with a complete protected backup. Preserve sale history using the protected backup; sensitive sale history blocks unprotected HTML export and disabling protection. Printing and external photo/PDF exports also create readable copies.

If unlocking fails, stop and preserve the files. Check whether the backup uses an older password. Do not delete records, overwrite your only backup or assume that a license reset can recover encrypted data.

6. Move computers or update safely

Make and verify a protected backup, close the application and retain the entire previous application folder. Extract releases separately. Do not overwrite your only Data folder or open migrated data in an older release unless compatibility is documented.

To move an activation, choose License → Deactivate this computer on the old computer, activate the replacement while online and restore your backup there. If the old computer is unavailable, ask support about an ownership-verified reset. Copying the folder does not reliably transfer Windows-protected device credentials. An old offline certificate can remain usable until it expires or learns of the reset.
